This policy explains how SameThread Studio handles personal information submitted through this website. We collect only what is reasonably needed to review enquiries, communicate about potential projects and deliver agreed services.
Information we collect
When you submit a project brief, we may collect your name, email, business details, website requirements, brand information, timeline, campaign attribution parameters included in the page URL and any other details you choose to provide. Basic technical information may also be processed by the website platform for security and reliable operation.
Email verification
Project-brief information is temporarily stored while we send a verification link to the email address provided. The complete brief is delivered to SameThread Studio only after that link is used. Verification links expire after 60 minutes. Unverified submissions are automatically removed within 48 hours.
How we use information
- To confirm that a submitted email address can be accessed by the person making the enquiry.
- To review and respond to verified project enquiries.
- To prepare scopes, proposals and project communications.
- To understand which campaign led to an enquiry when attribution information is present.
- To prevent spam, fraud and misuse of the website.
- To meet legal, accounting or contractual obligations where applicable.
Service providers
Cloudflare infrastructure is used to deliver and secure the website and to temporarily store pending project briefs. Resend is used to send verification messages and verified project enquiries. Source-control providers may also process website source code. These providers handle information according to their own terms and privacy commitments.
Retention
Unverified submissions are removed automatically within 48 hours. After a verified brief is delivered, the stored brief and email address are removed from the verification database; limited delivery metadata may be retained briefly to prevent duplicate delivery. Enquiry emails and information connected with a resulting business relationship are kept only as long as reasonably needed for follow-up, business records or legal obligations.
Cookies and advertising measurement
We use Meta Pixel to measure website visits. Meta may process your IP address, browser information, page URL and cookie identifiers under its own privacy policy. Automatic form-data collection is disabled in our integration. Browser privacy settings and tracking blockers may prevent browser measurement.
If you select the optional advertising-measurement checkbox on the project-brief form, we also use Meta Conversions API to report one Lead after your email is verified and your brief is successfully delivered. With that permission, we send a SHA-256 hashed version of your normalized email address, the submission browser’s IP address and user agent, and Meta browser/click identifiers where available. These help Meta match an enquiry to an advertising interaction. A hashed email is still personal information, not anonymous data. We do not send your name, business details, project answers, CAPTCHA data or verification link/token.
Matching identifiers are stored with the pending submission for no more than 48 hours. Following confirmed delivery, they may be retained for up to 48 hours while retrying measurement delivery. They are removed as soon as Meta accepts the event or a permanent failure occurs. Limited non-content delivery diagnostics are retained for up to seven days. Declining optional server-side measurement does not affect your enquiry or our response.
Your choices
You can leave the optional measurement checkbox unchecked, or contact us before verifying your email to withdraw that permission. You can ask what personal information we hold about you, request a correction or ask for deletion where applicable. Rights vary by location and may be subject to legal exceptions.
